Booking Confirmation and Deposits All events or spatial hires require a non-refundable deposit at the time of booking, unless otherwise agreed in writing. This deposit secures your reservation and is deducted from your final payment. Your booking is considered confirmed once your deposit has been received and acknowledged by Livesey Exchange. Cancellations by the Hirer More than 30 Days Before the Event: If you cancel in writing at least 30 days before your scheduled event, we will refund any payments made, minus the non-refundable deposit. 14 to 29 Days Before the Event: Cancellations made within 14–29 days of the scheduled date are subject to a 50% charge of the remaining balance (after the deposit). Less than 14 Days Before the Event: Cancellations made less than 14 days before the event date will be charged the full hire fee, and no refund will be issued. Cancellations or Changes by Livesey Exchange In the unlikely event that we must cancel your booking due to unforeseen circumstances (e.g., venue maintenance, safety concerns, or other issues beyond our control), we will endeavour to provide as much notice as possible. We will offer an alternative date or venue if available, or provide a full refund of all fees paid, including your deposit. Livesey Exchange shall not be held liable for any additional costs or losses incurred by the hirer as a result of the cancellation. Amendments and Postponements If you wish to change the date, time, or details of your booking, please notify us in writing at your earliest convenience. Requests are subject to availability, and additional charges may apply. In cases of postponement, your deposit may be transferred to a new date if agreed by Livesey Exchange, provided the change is made at least 30 days before the original event date. Refund Process Approved refunds will be processed using the original payment method where possible. Please allow up to 14 working days from the date of approval for the refund to appear in your account. No-Show Policy If the hirer fails to show up on the event date or is unable to access the space due to non-compliance with the venue’s conditions, the full hire fee will be retained, and no refund will be issued. Disputes In the event of any dispute regarding cancellations, refunds, or charges, both parties agree to seek a mutually acceptable resolution. Should this not be possible, the matter shall be governed by the laws of England and Wales, and both parties submit to the jurisdiction of the English courts.
